Start by taking stock of product marketing claims

Claims about product features, performance, compatibility, customer outcomes and certifications can all influence purchasing decisions. Start by gathering statements from the website, sales presentations, trade show materials and advertisements that require supporting evidence, distinguishing facts from opinions and predictions.

Assign evidence types to claims

Identify an appropriate basis for each claim, such as product documentation, test reports, certification documents or case studies authorized for use. The evidence type must match the statement: an industry article cannot prove that a specific product achieves a particular level of performance.

Record applicable conditions and versions

Record the model, configuration, software version, test conditions, time period and applicable regions. Customer case studies must specify the project scope and the company's contribution; one customer's results cannot be used to infer that all customers will achieve the same outcomes.

Review what may be disclosed publicly

Confirm the information provider, reviewer and content approved for public disclosure. Internal tests, customer documents and supplier data may be subject to confidentiality or licensing restrictions; having data does not mean it can be made public.

Maintain evidence status after publication

Set review or expiry dates for evidence. When products are updated, certifications expire, calculation methods change or customers withdraw authorization, check all statements that reference the evidence and make timely adjustments.

Assign an identifier to each claim and supporting asset, and reference these identifiers during content approval. Reviewers can then quickly access original files, applicable conditions and approval records without having to infer sources from chat histories.

Before publication, spot-check the final materials by working back from the claims: randomly open the evidence linked to statements and confirm that the version is current and actually supports the wording. Statements without evidence should be removed, narrowed in scope or investigated further.

Qingmei Future can assist with product content structure and evidence management; the company's designated personnel remain responsible for product testing, certification facts, customer permissions and advertising review.

The register should also record where evidence files are stored, access permissions, versions and summaries approved for public disclosure. Sales staff should be able to see the applicable limitations when citing evidence; without approval, internal test reports must not be presented externally as certification or as guarantees to customers.

Spot-check published marketing materials to ensure that supporting materials for every major claim can be found within a reasonable time. When evidence expires or test conditions change, first verify whether it still supports the original statement, then update the copy and related sales materials.

Evidence files can be managed according to internal confidentiality classifications, while public pages should reference only approved summaries or public reports. Record whether the original text may be shared externally, whether links require a login and who can approve excerpts, to avoid accidentally disclosing internal information in pursuit of traceability.

For calculated results, retain the formulas, input definitions and verification dates, and have someone other than the original author recalculate a sample. When statistical definitions change, results must not be compared directly with earlier results; if an external comparison is needed, first explain the recalculation method and its limitations.

Before using the evidence register, standardize internal file naming and storage locations, and give reviewers read-only access to prevent versions from being overwritten. If the source materials are confidential, prepare an approved summary and retain an internal reference that allows the source to be traced.

If a claim applies only to a specific model, state that limitation near the marketing statement and include it in image captions and download cards. Customers who read only the summary should still be able to see the key conditions.

Approvers can explicitly assess whether the evidence is sufficient to support the original wording, rather than merely checking that a file exists.

Remind the responsible person to review evidence before it expires, so that new marketing materials do not continue to cite expired reports.

The evidence register should support internal traceability and pre-publication review.

Reassess related marketing materials when source links or report versions change.

When evidence changes, notify the content owners who cite it so they can review their content promptly.

For every approval, the responsible person should record the applicable version and the next review date.
